Does This Apply to You?

Section 504 of the Rehabilitation Act reaches providers who receive federal financial assistance. Here is the short version.

What triggers it

Billing Medicare or Medicaid. Medicare Part B alone has counted since May 6 2025 — a reversal of HHS's earlier position that caught a lot of small practices off guard.

When it lands

May 11 2027 if you have 15 or more employees. May 10 2028 if you have fewer. It counts employees — not patients, not locations, not revenue.

When it doesn't

Cash-pay only, with no Medicare and no Medicaid? The rule does not reach you. You may still want a better website — but you don't need us for a deadline.

The standard named in the rule is WCAG 2.1 Level AA. Separately, the duty to communicate effectively with patients who have disabilities never paused — which is why practices get demand letters today, deadline or no deadline.

We rebuilt their site around Section 504: a multi-location architecture, a clinician directory, an employment portal, and a published accessibility statement with a working feedback channel. Straight Answers

Does the Section 504 rule actually apply to my practice?
It applies if your practice receives federal financial assistance — which, since May 6 2025, includes practices that bill Medicare Part B. Medicaid has counted for far longer. If you are cash-pay only, with no Medicare and no Medicaid, the rule does not reach you. We would rather tell you that up front than sell you something you don't need.
What is the deadline?
Practices with 15 or more employees have until May 11 2027. Practices with fewer than 15 have until May 10 2028. Those dates count employees, not patients or locations. Note that the separate April 2027 date you may have read about is for government entities under ADA Title II — that is a municipal deadline, not a healthcare one.
Can you make my practice compliant?
No one can honestly promise that, and you should be skeptical of anyone who does. What we do is concrete: we build your website to the WCAG 2.1 AA standard the rule names, and we ship the documentation that goes with it — a published accessibility statement, a working feedback channel, and a remediation log. That is the website portion of the requirement, done properly. Your practice's other obligations are separate from us.
Do you touch patient data?
No, by design. We never store, transmit, or process PHI. Intake forms route directly into whatever secure system you already use, so the website itself stays outside HIPAA scope. That is deliberate: the safest way to handle protected health information on a website is to not have it there at all.
Why pay $3,200 up front when practice website services start around $99 a month?
Honest answer: if you are a solo clinician who needs a handful of pages, those services are a reasonable buy and we are not going to pretend otherwise. Two things change the math for a group practice. First, what you get — ten pages, a provider directory, insurance and sliding-scale pages, location pages with proper schema, and the Section 504 documentation package is a different product from a single-clinician template. Second, what you keep — those are subscriptions, so the site is theirs. Stop paying and it goes offline. Ours is static HTML that belongs to you; if you leave, you take the files and host them anywhere. Over three years a $99/month subscription runs about $3,600 and leaves you nothing to walk away with.
How are you different from a healthcare marketing agency?
Mostly price and scope. Agencies that specialise in medical or rehab practices quote privately and commonly land in four figures per month, because they are selling ongoing advertising, SEO campaigns, and reputation management alongside the site. If you want that whole program run for you, hire one — we do not do ad campaigns. We build and maintain the website properly, document the accessibility side, and charge $160 a month for it.
Who actually updates the site?
We do. You email us in plain language — a provider left, you added a Saturday clinic, your insurance list changed — and we make the edit and push it live, usually within minutes during business hours. Nobody at your practice needs to learn a content management system.
What happens if we stop working with you?
You get your files. These are static HTML sites, not a database locked inside somebody's platform, so you can host them anywhere or hand them to any developer. There is no lock-in.
